Best Practices

  • Alert the Communications Team to upcoming announcements and achievements to allow for pre-planning of news promotion whether through internal or external channels
  • If a research publication is embargoed we will work with you and the publication contact to coordinate timing and messaging.
  • Provide background information and significance of achievement to help us maximize the understanding and impact for target audiences
  • If media interviews are likely, identify and make available appropriate spokesperson(s) at time of news release
  • Prepare in advance top messages and stick to the message for clarity and maximum impact
  • Don’t try to answer questions outside of your area of comfort or expertise
  • Identify photos or help to arrange for a photo shoot to support publicity
  • If graphics or other visual material is available discuss with communications team member potential use. To maximize the impact of the story we will promote it through multiple channels and publications - internally generated articles or materials can be longer and include more details.
  • If contacted by a media representative alert the Communications Team even if you don’t need our help. Once a contact has been made we will cross promote the final published piece and cultivate these reporters to encourage future publicity opportunities for the SVM.
  • News that is developed by the team is often re-printed in trade publications. This is a significant opportunity for us to promote your news and we have extensive contact lists for pitching these items.
