Application Procedures
Financial Aid Eligibility and Satisfactory Academic Progress
The Financial Aid Office is required by law to ensure that students receiving financial aid are making satisfactory academic progress. Federal regulations (CFR 668—Student Assistance General Provisions), Sections 668.32(f), 668.16(e) and 668.34, state that a student is eligible to receive Title IV, HEA assistance if the student maintains satisfactory progress in his or her course of study according to the institution’s published policy for academic progress. If a student does not meet minimum standards of academic progress, the student will not be eligible to receive financial aid assistance.
Veterinary students must adhere to the School’s By-Law 80 Policy for Probation, Delay of Promotion, Dismissal and Appeal to remain in good standing for financial aid. At the end of each quarter, academic progress is evaluated according to the standards contained in By-Law 80. Students who fail to meet the scholastic standards are referred to the School’s Student Affairs Committee for review. If a student is placed on academic probation, the Student Affairs Committee may prescribe appropriate remediation to be achieved within a specified period of time. During the quarters on probation, students will continue to be eligible for financial aid. Students who do not complete the veterinary program within the normal time frame due to repeated coursework may exhaust some of their funding options.
Incomplete Grades
Students receiving an incomplete grade will have three quarters or the time limit specified by the Student Affairs Committee to complete the course with a passing grade. For purposes of receiving financial aid assistance, an incomplete is treated as units completed.
Leave of Absence/Withdrawal/Dismissal
Veterinary students are required to meet with the Associate Dean for Student Programs before participation in the Planned Educational Leave Program (PELP) or academic withdrawal is approved. The standard maximum length for an approved PELP is one full academic year.
Depending on the date of approved PELP or academic withdrawal, or dismissal, a determination will be made whether the student is entitled to a full, partial, or no refund of registration fees. (Refer to the Office of the University Registrar policy regarding Fee Reductions and Refunds.) If the student is receiving financial aid, the Return of Title IV Aid regulations require that the institution recalculate the student’s eligibility for any aid disbursed in a given quarter to determine whether any of this aid needs to be returned. This calculation is based on the percentage of time the student was enrolled for the quarter. The quarters that the student is not enrolled may be excluded from the maximum time frame in which the student is expected to complete the D.V.M. degree. |
